Check how to use library resources

Your learners can get limited access to UCL library services by being registered by your department administrator, but both you and your learners should be aware of copyright restrictions.

You can apply to give learners on a short course or continuing professional development (CPD) temporary access to physical library services by registering them via the UCL Services System.

There are different processes to follow, depending on the level of access you want learners to have.

Please note that learners will not be able to access the library’s electronic resources (other than by using the Explore Access Points located within the libraries as mentioned below) due to licensing restrictions.

Library access

Your departmental administrator can register learners doing short courses or CPD for temporary library access through the UCL services system.

This will allow learners to use the UCL physical libraries on-site (with the exception of the Student Centre):

  • for reference purposes
  • to access electronic resources through Explore Access Points
  • to download extracts from the electronic resources to their own USB storage devices, Ìýfor use of the Explore Access Points

Library borrowing

Once registered on the UCL Services System learners will be automatically registered for limited borrowing of up to five items at once.

Be aware of copyright restrictions

Copyright restrictions for providing readings to short course learners are different to registered UCL students.

As above, short course learners are not able to view links to UCL e-resources. Instead, you may freely provide links to articles from Open Access materials, or resources licenced with an open licence permitting that use (such as ).

Some readings may be covered by the CLA (Copyright Licensing Agency) licence:

  • The CLA licence comes with limitations on what can be copied
  • Readings are not covered by the licence unless they have been processed through the library (so core administration and record keeping can be observed)
  • Students must be registered as ‘Non-Credit bearing’.

Access CLA readings through UCL ExtendÌý

To give short course learners access to CLA digitised readings through (the public-facing platform delivering training from the UCL Short Courses Catalogue), your department administrator or finance manager will need to register your course with UCL Finance. They will need to tell UCL Finance:Ìý

  • the number of learners on your courseÌý
  • the number of learning hours of the courseÌý
  • that learners should be registered as 'non-credit bearing'Ìý

After your course has been registered, email the Library’s Teaching & Learning Support Section with details of the library book extracts and journal articles you wish to make available through UCL Extend. They will check the readings meet the CLA licence criteria and, if so, digitise the materials and send you PDFs to add into UCL Extend.Ìý
